Paper files bug off

Despite the push for paperless freight transport, forwarders still create physical files for their orders. These files contain all the information and documents required for recording, managing and organizing shipments. The result is stacks of paper that accumulate even before a shipment - together with a pouch full of even more paper - goes on its journey. To top it all off, the file is always only in one place, meaning its impossible for anyone to take an instant look at it. And then there's the worry that something will go wrong without anyone noticing and making corrections in time.

Paperless means worry-less

Those who use Scope can put these worries aside. Scope displays the entire shipment within the application and manages it as an electronic file: registering and organizing shipments and all their associated data. This information is stored centrally and can be viewed by all parties involved within a company at any time and from any location. From a purely technical point of view, the paper file, its archiving, its dispatch and the alarming additional work associated with it simply goes away.

Scope meets all requirements to process an international shipment and enables corresponding actions along the supply chain:

  • Registering: Who wants to send what, how and from where to where
  • Pre-Carriage: Issue pick-ups from the shipper
  • Main Run: Preparation of documents for airlines or shipping companies
  • On-Carriage: Generate delivery orders to the recipient

Unrestricted ability to act

The electronically generated documents can be transferred in a standardized data format to the systems of other shipment participants and automatically processed there.  Time-consuming and fault-prone re-keying of the same shipment information is eliminated.  Documents become paperless and are sent instantly by e-mail, or - if absolutely necessary or legally demanded - documents can be physically printed and processed manually.

As the shipment proceeds,  additional incoming documents can be added to the electronic file in any format (e.g. Word, Excel, PDF or digital photos) and these are made available to all parties involved in the life-cycle of the shipment. Those who have to act can act and subsequently document their actions.

What counts is the result

Nobody's in business to lose money. In Scope, outgoing documents can be created and incoming documents can be assigned for each step within a shipment. It's also possible to create reserves (cost estimates), which are reversed when the incoming invoice is posted. Financial transparency is an advantage here. Costs and revenues can be seen and evaluated immediately. Profitability becomes easier to calculate, uneconomical orders can be identified more quickly, countermeasures can be speedily  implemented.
