Anlieferung über Niederlassung

"Anlieferung über Niederlassung" entspricht dem klassischen Ablauf einer Sendung, die in einem Lager am Flughafen entladen und später konsolidiert wird.

Der Lagerein- und ausgang wird registriert um automatisch die Gestellungs-, bzw. Umfuhrmeldung auszulösen.

Ablaufbeschreibung

1. Ausfuhranmeldung

  • Ausführer erstellt Ausfuhranmeldung über ATLAS.
  • ATLAS vergibt MRNs und sendet ABD an Ausführer.

2. Erwartung am Ausgang

  • Sendung wird vom Ausführer an Spediteur übergeben und zum Flughafen gebracht.
  • Spediteur disponiert Sendung über Hub, vergibt HAWB-Nummer und ordnet MRNs zu.
  • Ladeliste (inkl. Hub-Sendungen) wird an das Riege Warehouse gesendet.
  • „Erwartung am Ausgang” wird ausgelöst.

3. Gestellung und Qualifizierung

  • Eingang der Sendung im Lager wird mit Riege Warehouse abgewickelt.
  • Es erfolgt eine „Automatische Gestellung” und „Qualifizierung” über ATLAS.
  • ATLAS sendet „Freigabe zum Ausgang” oder „Beschau” an Riege Warehouse.
  • Consol-Dispo wird vervollständigt und MAWB (Consol-Manifest) an das Riege Warehouse gesendet.

4. Umfuhrmeldung

  • MAWB-Ausgang (Consol-Manifeste) wird mit dem Riege Warehouse disponiert und zur Airline gebracht.
  • „Umfuhrmeldung” wird mit Riege Warehouse an ATLAS gesendet.

5. Abflugbestätigung und Ausgangsvermerk

  • Spediteur erhält Airline-Abflugbestätigung (z. B. von TRAXON).
  • Procars-Abflugkontrolle löst Ausgangsmeldung an ATLAS aus.
  • Ausführer erhält Ausgangsvermerk

Ohne EDI Schnittstelle

Der Ablauf "Ohne EDI Schnittstelle" entspricht dem Ablauf "Direktanlieferungen" mit dem Unterschied, dass die Auftragsdaten (AWB und MRNs) nicht elektronisch aus dem System des Spediteurs angeliefert werden. Die Daten müssen manuell nacherfasst werden.

Dieses Verfahren kommt vor allem bei kleineren Spediteuren zum Einsatz.

Ablaufbeschreibung

1. Ausfuhranmeldung

  • Ausführer erstellt Ausfuhranmeldung über ATLAS.
  • ATLAS vergibt MRNs und sendet ABD an Ausführer.

2. Ankunft der Sendung

  • Sendung kommt mit LKW am Lager an.
  • Erfassung der AWB- und MRN-Daten mit Riege Warehouse.

3. Gestellung und Qualifizierung

  • Es erfolgt eine „Automatische Gestellung” und „Qualifizierung” über ATLAS.
  • Bei „Beschau” wird die Sendung im Lager abgeladen.

4. Umfuhrmeldung

  • Freigegebene Sendung wird zur Airline gebracht.
  • Bei „Freigabe zum Ausgang” löst das Riege Warehouse automatisch Umfuhrmeldung an ATLAS aus.

5. Abflugbestätigung und Ausgangsvermerk

  • Der Lagerist ermittelt die Abflugsdaten (z. B. TRAXON).
  • Ausgangsmeldung wird an ATLAS übermittelt.
  • Ausführer erhält Ausgangsvermerk

Direktanlieferungen

Unter "Direktanlieferungen" wird die Anlieferung von Ware an einer Airline am Flughafen verstanden, die von einer Flughafen-fernen Speditionsniederlassung ausgeht.

Die Ware wird in der Regel im Bereich des Flughafens weder entladen noch gelagert sonder vom Spediteur "Ready-for-Carriage" angeliefert.

Ablaufbeschreibung

1. Ausfuhranmeldung

  • Ausführer erstellt Ausfuhranmeldung über ATLAS.
  • ATLAS vergibt MRNs und sendet ABD an Ausführer.

2. Erwartung am Ausgang

  • Sendung wird vom Ausführer an Spediteur übergeben und zum Flughafen gebracht.
  • Spediteur vergibt AWB-Nummer und disponiert Sendung als Direktanlieferung.
  • Ladeliste wird an das Riege Warehouse gesendet.
  • „Erwartung am Ausgang” wird ausgelöst.

Cargo Community System

Riege Software International provides electronic data exchange with a Cargo Community System (CCS), direct or through our clearing center, as an integrated Procars module.

Through the Riege Software International Clearing Center we can offer you connection to ARINC [US], CCN [SIN], Cargo Connect [CCX/UK], TRAXON Europe [TRX/DE] and INTTRA [DE].

CCS Connections

Transmission

Your data is transmitted as flat format files to the Riege Software Clearing Center, where it is converted to the required format. This message is then transmitted to a CCS, which will subsequently forward it to the relevant Airline or Sea Carrier. The Airline or Sea Carrier processes the message and sends any replies back to the Riege Software International Clearing Center via the respective CCS. The reply is converted to the required Procars format and forwarded to the originating system for further processing.

The Riege Software International Clearing Center controls both conversion and communication processes. Communication can be established in a number of ways."

AMS Air

To satisfy US Customs and Border Protection regulations, Riege Software International implemented transmission of House AWB data to airfreight carriers via TRAXON Europe [TRX/DE]. This "ProAir AMS Air" module is available since March 2004.

eBooking

The Procars ProAir software system has supported electronic booking since 1998. Although this system is installed and fully functional on many of our clients systems it was not used. The reason for this was that the airline systems did not electronically confirm most of the bookings. The bookings then usually went into a manual queue and were not worked on. In order for a booking system to work it is essential that the forwarder receives an immediate response and if the booking can not be handled automatically then there must be a reliable back office system to manage these bookings manually. Because of this problem our customers were forced to use fax or e-mail and some also used web browser solutions. This media break always means double entry of data and, as far as the web browser is concerned, much higher demand on the back bone of the forwarder system.

Booking answers must be entered manually into the forwarder system.

In 2002 Riege Software International GmbH worked together with Lufthansa Cargo Systems to implement the Lufthansa variant of the CARGOIMP booking. After the first trial period at the end of 2002 the system was optimised on both sides in over one hundred individual tests at the beginning of 2003.

The benefit to the forwarder and Lufthansa is that a large number of ad hoc bookings are now handled fully automatically. Using the LH Time Frame option it is also possible to place a booking just giving Departure, Destination, Pieces, weight, product code and last but not least the LAT (Last Acceptance Time). The LH booking engine will then reply with the first available flight and supply the ETA and ETD. Many of the large forwarders are now able to book allotments and multi master AWB using the new enhanced Procars eBooking module. A further value added service is that the booking per Fax or e-mail can now also be generated automatically to the airlines that do not support a functional eBooking system. This means that the monthly flight schedule booking process can be done by pressing one button.

This system is fully integrated into the ProAir module. There is no double entry of data. All transactions are carried out in the shipment key-in or Flight Schedule process. Answers are routed automatically into the internal and/or global connect Track and Trace modules. Since the first pilot installation (at Geis SDV) we have worked to establish a fully functional system that is continually supported by the RSI Maintenance group who together with Traxon and Lufthansa eChannel provide a fast and professional support chain for the whole eBooking procedure.

The figures below confirm that eBooking in Procars is now, as far as Lufthansa is concerned, a normal part of the order processing. RSI is willing to go forward with all airlines or providers who offer such a service.

ATLAS

Riege Software International provides electronic data exchange with german customs, direct or through our AT- Clearing Center, as an integrated Procars module.

Work-flow

The user enters the complete data into the Procars system ProCust for customs clearance and sends the electronic documents to the AT-Clearing Center. The AT-CC forwards the customs declarations to the systems of the German Fiscal Authorities. As soon as the German Fiscal Authorities have decided on the customs declarations, they are sent back to the AT-CC. The AT-Clearing Center passes the documents immediately to the respective customers' Procars system.

Customers benefit from using the AT-CC by not having to deal with the special communication needs of the German Fiscal Authorities as well as the powerful transmission tracking system built into the AT-CC.

Using the AT-Clearing Center requires the installation of the german ProCust software modules.

Data exchange

You want to exchange electronic data? There are many areas where this need occurs.

Data can be exchanged between

  • Forwarders and their customers (purchase order, booking, ...)
  • Forwarders and airlines
  • Forwarders and customs
  • Forwarders and agents
  • Forwarder and service providers (e.g. RSI)
  • Forwarder and their partners (other forwarders)

Specify data

To exchange data, you need to specify a data or file format. This format describes the way the data/file is structured. There are many different formats, some are (or just seem to be) common standards, while others are defined according to a special agreement between two parties.

Here are some existing formats

  • UN EDIFACT (several message types for different purposes: IFTSTA, IFCSUM, IFTMCS, ...)
  • CargoIMP (FWB, FSU, FSA, FSR, FFR, FFA, FNA, FMA)
  • Customs Proprietary (US customs, German customs, ...)

Transport data

In addition to the file format, the data must be transported from A to B. There exist a number of ways to transport data and these are referred to as protocols.

Some examples of protocols are

  • SMTP (Internet Email)
  • FTP (File Transfer Protocol)
  • X.400

To sum up, there are three areas which are vital for data exchange

Finally, once up and running, successful data exchange requires continuous attention and further Know How for the following reasons:

The AES module is a Procars module that permits the user to generate an Export Declaration with the following features:

Features

  • The export declaration is created while the user creates the regular sea or air export shipment. This makes creation of an export declaration extremely quick with no double keyin.
  • The user may electronically transmit the export declaration direct to US Customs or via a third party communications provider such as Tradegate.
  • The system also allows the user to print a 7525v if required.
  • All schedules and codes are built into the system for easy lookup and are updated automatically by Riege Software as part of the maintenance contract.
  • Shipping documents have the required exemption statements printed on them and exemption statements can be created for shipments that do not require AES declaration.
  • The system provides detailed monitoring and maintenance of export declaration operations, with the option to print reports.
  • Customers AES details are stored in the customers files and called automatically when an AES entry is created.

Sea Export Gateway Consolidation - Sea Exports

Suitable for larger companies with multiple branches across the USA. The Procars Sea Export Gateway consolidation allows smaller loads picked up up at outlying branches to be created by the local branches. Details are then transmitted electronically to staff at the gateway ports who are able to speedily create accurate consolidations. Warehouses and terminals may be created on the system and routes established between these locations together with overseas locations. This gives management fine control over the consolidation and shipping of freight loads originating from multiple points on the North American continent.

Rated Bill of Lading integrated with tariff system - Sea Exports

Allows freight forwarders to store their published NVOCC commodity tariffs. These tariffs are available for lookup during sea export bill of lading creation, ensuring users can easily create fast and accurate rated bills of lading.

In Bond - Air And Sea Imports

System that automates the reporting, screening and clearance of imported cargo through the use of computer links between the ACS, parties reporting and delivering cargo and other members of the cargo importing community. Utilises following EDI messages:CUSCAR, CUSRES, CUSREP, CONTRL.

On Hand Module - Air and Sea Exports All regions

The on Hand Module is designed for freight operations where multiple suppliers provide goods for a single shipper and consignee. Goods are registered in the warehouse as they arrive and can be monitored by freight forwarding staff . Selected items can then be consolidated onto single house shipments. In addition this system allows the freight forwarder to capture all details supplied on commercial invoices. This data together with shipping status information can be transmitted to overseas agents/cnee's giving them up to the minute access to stocks available in the exporting forwarders warehouse. Shipping orders can be dispatched accordingly.

In addition this module can produce multiple forms and documents.

Central vendor payment control - All Modules all regions

During shipment creation, users are prompted to input vendor details for any payables. Later, when the vendors invoice arrives, these can be easily matched to the correct shipment either by the local branch or a central branch responsible for creditors.

C88 document is a standardized SAD (Single Administrative Document) form which is required for import and export between the UK and countries in the European Union, the European Free Trade Area (Switzerland, Liechtenstein, Norway and Iceland) and the Visegrad group (Poland, Hungary, the Czech Republic and Slovakia). Procars supports printing of these documents.

FZB messages

Apart from the FWB messages, FZB messages are required in Singapore for declaring HAWB shipment datas. FZB can be sent automatically to CCN Singapore when users finish a HAWB shipment. The message format is conformed to the IATA CargoIMP manual edition 18.

Cash Sales Receipt

In addition to the generation of credit-terms invoices, the generation of cost specification and cash sales receipt are also available by using cash accounts instead of regular account number. The workflow is very similar to the generation of normal credit-term invoices and the operating programs are the same for user friendly purpose.

CUSEXP EDI messages, which are in complied with UN/EDIFACT standard, can be transferred to TRAXON system for customs declaration purpose. This module is applicable for both airfreight import and export as well as conforms to the import/export requirements of Hong Kong customs. Reply messages received from TRAXON and airlines (if configured) could be uploaded to the concerning shipment for tracking and tracing purpose.

Air Export Program for Regulated Agent Retrieve (RAR)

The RAR form filled by shipper has to be received by forwarders in Hong Kong before the cargo could be shipped, and this form is valid for 3 years in general. ProAir is programmed to store RAR data and warns operational users when such information is either expire or not entered.

Invoice Instruction

For those forwarders who are not equipped with appropriate license to do invoicing in mainland China, it's possible for users in mainland China office to prepare invoice instructions instead. These invoice instructions can be retrieved and printed out by users in HK office or other branch office outside mainland China to save time and avoid double work which may involve.

Tax Invoice

The Chinese Authorities require a special Tax Invoice (INTERNATIONAL FREIGHT FORWARDING SPECIAL INVOICE) in case the Invoice Receiver resides in China. Our software is capable of printing Chinese characters (Company name, other charge description and Voucher amount) on the Voucher.

Our NZ Customs application allows freight forwarders to make electronic import, export or excise declaration.

  • Each declaration can be of 3 types:

To assure the integrity of message content, it is signed by the person responsible for creating it, using their PIN.

Platform for data exchange

With Global Connect we provide a central platform for data exchange between heterogenous systems.

Gateway Connection

Shipments generated at the local branch level can be transferred to a gateway for further processing and consolidation. Multiple-gateway processing, where the responsible gateway is based on final destination, is also supported, together with truck manifests. The import gateway may electronically transmit the import data to the final destination branch.

CASS-Billing

Procars supports CASS billing. The CASS-2 module enables processing of fortnightly or monthly CASS billing automatically.

Local Purchase Order

Procars can handle Local Purchase Order. This module enables generating Local Vendor cost specifications called VCSs. Those VCSs can be generated for all kind of shipments and multiple per job. Every VCS has an unique serial number, which will be generated from one pool for all shipment-types.

UDS

Procars creates UDS (Undelivered Shipment report), which enables control for customs warehouses.

Job Costing Module

For every shipment a cost control record is generated at the moment the shipment is registered. Each new invoice or credit note as well as accruals created for the shipment will instantly update this cost control record.

An accounting and a statistical overview are available to review full voucher history, actual P/L status with detailed active voucher overview, including accruals on both levels.

Automatic breakdown of master charges and costs to the related houses is a standard function that can be activated/deactivated via a setting in the master shipment-group set-up. The breakdown key can be charge related. Accruals generated on master level will be held until balanced and the creditor invoice is processed.
